Cake Order Form

As a bakery business owner, there is a lot to juggle in the day-to-day of your business. This is why streamlining your processes is important.  Where’s the best place to start?  Your cake ordering forms! If you need a handy, single-page order form for your simple cake orders, you are in the right place. I’ve put together a fully editable and customizable option for you!

I used to take all my clients’ orders on a piece of notebook paper,  but when I started hiring people, I needed a better system. I needed all the details in the same place for each order on a replicable form. So, I created this Cake Order Form. I have used this order form in my own baking business for years!  It’s perfect for party cakes and special occasion cake orders. Don’t make cakes?  Not to worry, it’s easily customizable to better suit a cupcake or cookie business if needed!

Pro Tip: I use this order form for orders under $250 in my own business. For orders over this amount, I have always prepared (and had the client sign for approval) a more formal cake contract.

Fully Editable and Customizable

I’ve created this form with your convenience in mind. It’s fully editable and customizable, allowing you to tailor it to your specific cake orders. You can easily add your branding and logo and personalize it to suit your unique style.  Go ahead and have some fun making it your own!

Streamlined Ordering Process

As you’re growing your bakery business, having a consistent and efficient process is key. With this form, you’ll be able to quickly fill in all the essential details without forgetting any important information. This is especially handy if you take most of your orders over the phone, where you need to be quick with writing down all essential order information!

Seamless Tracking of Cake Progress

One of the handiest sections on this form is the boxes at the bottom for checking off how far along in the production process your cake orders are.  There’s a box for checking off whether the cake is baked, crumb coated, iced, or decorated, so this way you can quickly glance at a stack of cake orders and see how far along you are. No more sticking your head into the fridge to search for each order!  This simple section becomes even more important if you have employees because your team can cross off what is done, and everyone can easily keep track of what’s next on the to-do list.  It’s a simple but effective way to quickly glance at all of your orders and see where you are in production throughout the week!

A Sign-Off Space

Another incredibly important part of any cake order form is the pickup signature section. Not only does it allow you to have a written record of your orders being picked up, but it also protects your business. Under the signature space, I have included a pick-up statement that you can adjust for your own business that has the client acknowledge two important points:

A) That you have produced the order to the client’s satisfaction (helping you eliminate awkward phone calls later about orders missing a detail or element – such as a “Happy Birthday!” message)

B) That the client is taking full responsibility for safely transporting the cake and that your business is not held liable for damage to orders that occur after pickup. (Having your client acknowledge their responsibility for transport is VERY IMPORTANT!  To be more helpful you can include a cake transport and care instruction card with each order – I have a FREE one available for you here!)
